Each Guest invited via External User Manager has their own profile that outlines all sorts of useful information about them.
Every profile will display the user's entire history, Teams they're a part of, and the number of days they have before their Access Review.
Let's take a deeper look at the Guest Profile to understand how it can enhance granular user control in your organization.
πͺͺ User Profile Overview
Navigate to Overview > Users in External User Manager to start looking through Guest Profiles.
On the Guest Profile, you'll be able to:
View the User's details, including their Name, Email, Group type (Team, SP, etc.), Responsible People, and Organization.
Edit the Metafield information they've provided during Onboarding and view additional Organization details.
See when they were granted Access to individual Spaces, including a handy progress bar for Access tracking.
Reassign the person who's Responsible for managing them within your company.
π Reports and Additional Actions
The Guest Profile isn't limited to simply viewing information; it also allows you to extract more data about the User and manage their Access to the tenant.
There are two distinct reports covering different aspects of the Guest's presence on your tenant:
Audit Report - Outlines the User's Total Requests, First/Last Visit, and Active/Inactive Teams, in addition to providing a detailed per-Team breakdown, including Access Review timelines.
β
Signed Docs Report - Displays all signed documents, which can be viewed and downloaded individually or in bulk. All versions of signed documents are retained, meaning you'll be able to view older versions of the documents in question.
The β― button in the top right corner will allow you to access additional options:
Suspend access - Disables the Guest's ability to view or participate in any Spaces that they were previously a part of. The User remains visible in the Microsoft Admin Center. Suspending Users is a great option when they don't require access anymore, but might need it again in the future. Suspended users can be unsuspended through the Chat tab, via the corresponding Action Card, or from the User Profile dropdown.
βRemove user - Removes the external User from your tenant entirely.
βStart access review - Triggers individual Access Reviews for all spaces that the User is included in.
