By default, the External User Manager Admin (not to be confused with the Teams Admin) is the only designated Approver within your company. They get to Review and Approve all incoming Guest and Organization Requests on your tenant.
This single Approver can be more than enough for small to medium-sized businesses; however, larger enterprises should really consider adding Additional Approvers who can be responsible for their own departments, projects, etc., to lighten the administrative load.
Let's go through the full Approver addition process to better understand how you can delegate Approval responsibilities among your employees.
⚙️ Approval Settings
By default, the current External User Manager admin is the only person able to approve new Guests on the tenant. If you want to delegate the approval process to other individuals, you can simply add them to the Default Approver Group.
Navigate to Settings > Approval in External User Manager to view Approval options.
Approve team requests - Extends the ability to approve Guests to Team Owners.
Enable Microsoft Entra ID security group as approvers - Allows you to select Microsoft Entra ID security groups as approvers.
Auto remove user - Automatically removes the guest from Microsoft Entra ID once they're no longer a part of any active Spaces.
Block default Microsoft message on tenant invite - Removes the default notification from Microsoft upon the addition of an external user to a Space.
➕ Adding Approvers
Right below the Approval options, you'll find separate Default Groups for Organizations and Users; both of them operate in the exact same way and contain all Approvers.
Once you decide to add new Approvers, simply click the ⋯ button followed by Edit to begin specifying additional users.
You'll see a pop-up that allows you to Edit all aspects of the existing Approver Group.
Edit the Group name if you deem it necessary.
Edit the Group description if you'd like to.
Specify the name of the user you'd like to include in the Group, or if activated, the name of the security group that you would like to add as Approvers.
Click Add.
Click Update to finalize the process.
Once you've added the desired user to the Default Group, they'll have access to all Active Requests and will be able to Approve them.
💡 You can specify the name of a Microsoft Entra Security Group and automatically add all of its members to the Group if the corresponding setting is enabled.
