Notifications

External User Manager has lots of different Notifications that are sent out when certain actions occur on your tenant.

You have the option to configure both Action Card and Email Notifications for each set of events, giving you the flexibility to pay attention to the occurrences you're actually interested in, instead of being bombarded with everything at once.

Let's go through all of them individually for a broader picture of the configuration options available to you.

πŸ”” Notifications


Navigate to Settings > Expert mode > Notifications to get started. Each individual Notification will have separate toggles for Mail (email) and Bot (action card) Notifications. The toggles will be grayed out in instances where one of these options is unavailable.

Here's what each notification does:

  • For an incoming request to all approvers - Sends out an email/action card to all approvers when a new guest request is submitted to the app.

  • For an approved or rejected request to the requester - Sends out an email/action card to the person who requested the team, both when the request is approved and when it's rejected.

  • For an approved invite to the invitee - Sends out an email to the guest user when their access to the tenant is approved.

  • For expired onboarding to the invitee - Sends an email to the guest user when they don't complete their onboarding within a certain time window.

  • For reminding the onboarding to the invitee - Sends an email to the guest user to remind them that they need to go through the onboarding process.

  • For team offboarding to the invitee - Sends an email to the guest user when their access from a given space is revoked.

  • For tenant offboarding to the invitee - Sends an email to the guest user when their access to the whole tenant is revoked.

  • For an incoming access review to all approvers - Sends an email/action card when a user's profile reaches the access review phase.

  • For an approved or rejected access review to the approver - Sends an email/action card to the person who requested a guest, when said guest is either reapproved or rejected during their access review.

  • For reminding about an access review to all approvers (if reminder turned on in 'Access Review') - Sends out an email/action card to all approvers when an access review is coming up (can be configured under Settings > Access review.

  • For guest when added to tenant - Sends an email to the guest user when they've successfully gained access to the tenant.

  • For a monthly summary message of the EUM to all administrators - Sends a chat message containing a short summary of the month's activity to all EUM administrators.

  • For suspending and restoring access of users to responsible persons and admins - Sends an action card to all responsible people and admins when guests that are connected to them get suspended/unsuspended.

  • For suspending and restoring access of users to external users - Sends an email to the guest when their access to the tenant is suspended/unsuspended.

πŸ“§ Mailing


You have the choice between two different Mailing Methods through which Notifications will be sent out. The Mailing Method can be changed from the corresponding dropdown in the top right corner of the Notifications page.

  • External User Manager Mailing (recommended) - The system will send out emails through our third-party partner (SendGrid). In rare cases, these emails might end up in the spam folder of your inbox, in which case, you might consider switching to an Exchange account.

  • Exchange Account - The system will send out emails through the email attached to the User that you select (helpful for maximizing privacy).

πŸ’‘ If you decide to use an Exchange Account for mailing, make sure that it's Cloud Only (Not OnPrem Synced) since this account type is best suited for interactions with the Graph API.
