Guest Invite Restrictions in Microsoft Teams

Once you Convert unmanaged Teams to External User Manager, users will no longer be able to add Guests through the default Teams UI.

This is done in order to maintain your organizational structure, ensuring that users submit proper Requests, guests go through full Onboarding Procedures, and that you have full access to all of the related information.

Let's take a look at how this restriction functions and how to work around it.

πŸ’‘ This feature works only in cases where External User Manager isn't connected to Teams Manager. If the two apps are connected, then the Team Guest Invite Policy is controlled through Teams Manager, and this feature, along with the corresponding page, is disabled.

πŸ“‹ Prerequisites


In order for this feature to function, you must grant the Extended trust permissions and enable the corresponding toggle under Settings > Setup.

♻️ Conversions & Exceptions


Once you Convert unmanaged Teams to managed ones, users will lose their ability to create Teams through the default Teams UI.

In order for the Conversion to work, you must add at least one Team to the Enabled teams list.

If you have Teams where you'd like to retain the option of utilizing the default Teams Guest Invite functionality, simply add them to the list. If you want to Convert all Teams, you can create a blank Team and add it to the list to enable the Conversion option.

  1. Navigate to Settings > Expert mode > Team guest access.

  2. Click on Add a team.
    ​

  3. Search for the desired Team (you can always exclude teams you've already added via the corresponding toggle).
    ​

  4. Click on Add (you can add multiple teams at once).
    ​

  5. Click on Convert to finalize the process.

πŸ’‘ Keep in mind that if you make any changes to the Enabled teams list (adding/removing items), you'll need to click the Convert button for those changes to take effect.

Teams that have been added to your tenant after the initial conversion process won't be covered by the Guest Addition Restriction until you click the Convert button again.

πŸ… Final Results


When a user attempts to add an External User to the Team that's a part of the exception, they'll get the option to add them as a Guest.

Other Teams won't have this option.
