Control Access With Access Reviews

Access Reviews prompt the Admin to regularly review guest access to ensure that only the people who are still genuinely needed get to be a part of your organization.

They're also great for security, since accidentally forgetting about a guest could leave your organization vulnerable to data leaks.

Let's go through the entire Access Review process to ensure that your organization stays tidy and secure.

⚙️ Setting Up Access Review


Access Reviews will remind you to reevaluate guest access through the External User Manager Chat Bot. Start by navigating to Settings > Access reviews to view all related settings.

Here's a breakdown of individual settings:

  1. Review time - This box allows you to specify the number of days after which a guest's access will need to be reviewed, meaning that if you set it to 30 days, you'll need to review access 30 days from the guest being approved.

  2. Auto reject - Enabling this toggle will automatically revoke guest access if you do not complete the review within the timespan specified under "reject days".

  3. Reject days - This box allows you to specify the number of days within which the access review must be completed; if it's not completed within this timespan, the guest's access will be revoked automatically.

  4. Auto reject reminder - Enabling this toggle will send a message through the chatbot, reminding you that if you do not complete the access review, the guest's access will be revoked automatically.

  5. Remind days - This box allows you to specify the number of days before automatic access revocation at which a reminder will be sent to you. Meaning that, if it's set to 7 days, you'll receive a reminder 7 days before the guest's access is automatically revoked.

🔑 Conducting Access Reviews


Once it's time to conduct an Access Review, the system will send the Admin an interactive notification through the Chatbot. You'll have the option to Approve or Reject it, depending on whether or not you deem the guest's presence necessary.

Rejecting the review will transfer you to the Requests tab, where you'll see all details related to this Guest. If you choose to actually Reject them, they will be removed from your organization.
