Implementing Naming Conventions

Naming Conventions allow you to automatically add Prefixes and Suffixes to Guest names and mix and match different aspects of their Onboarding Information to form a cohesive, streamlined naming system.

Let's go through Naming Convention settings together to fully understand how you can apply them to real-world scenarios.

βš™οΈ Creating Naming Conventions


Navigate to Settings > Naming Conventions in External User Manager to view the Naming Convention page, where you can see all related settings.

  • The Preview window at the top allows you to see how your Naming Convention will look once it's implemented.

  • The Force Naming Convention toggle will ensure that ALL guests within External User Manager will fall under your Naming Convention, regardless of whether or not you edit their name manually in Microsoft Entra.

  • The Display name pattern text box allows you to specify Naming Convention elements and their order.

  • The different buttons visible below will display two default options, UserPrincipalName (a given user's login ID in M365) and MailAlias (an email address without the domain name, e.g., @gmail.com), along with any Metafields that you've created.

Once you've specified your Naming Convention preferences, simply click Save to maintain the changes you've made.

In our case, we've added Ext_ as plain text to signify that this person is an external user, MailAlias (e.g., Jane.Doe) to display the person's name, and the Company Name Metafield to signify their role within the organization.

Once you've successfully implemented a Naming Convention, any Guests that are invited into your organization will automatically fall under it.

In our case, the Ext_ plain text was applied, followed by the Guest's MailAlias, along with the text they specified in the Company Name Metafield.
