Onboarding Media allows you to attach a variety of digital information sources to the onboarding portal, which is presented to guests during onboarding. Guests can be prompted to view HTML pages, YouTube videos, or PDF files (and potentially sign them) as part of the Onboarding procedure.
Upon viewing the Media, Guests will have to either click on a checkbox, provide a signature, or both, depending on your Media setup.
You can also enforce mandatory viewing policies, disallowing users from proceeding to the next page without viewing the entirety of the provided Media.
Let's go through the Media setup process together and try to explore real-world scenarios that could help you improve the Guest's experience.
π¬ Creating Media
There are three types of Media that can be added to your Onboarding Process. The only difference between their setup is the source from which the Media is pulled. This could be a PDF file for the PDF option, HTML code for the HTML option, or a YouTube link for the Video option. Otherwise, all setup aspects remain the same.
Here's how you can create new Media:
Navigate to Settings > Media In External User Manager.
βClick + Add new Media.
βSelect the Media type. In our case, we'll add an NDA agreement as a PDF.
βSpecify the Title of the Media Element and the Display name in Navigation (this text is visible exclusively on the External User Manager UI and on the Onboarding sidebar).
βClick Upload and add the desired document (or paste in your code/link for other Media Types).
βOnce your Media has been added, you can consider enabling the Accept document with checkmark before proceeding toggle, which mandates that the guest clicks a Checkbox prior to continuing to the next screen.
βYou can also enable the Read/Watch full Media toggle to force the guest to view the entirety of the uploaded Media.
βFinally, the Sign after read toggle will prompt the guest to actually sign the document prior to proceeding.
βOnce you're satisfied with the specified details, you can click the Confirm button to finalize your new Media.
If you want to change the order in which Media elements are presented to the guest during onboarding, you can click the Rearrange Media button, move them to the desired spot, and click Rearrange to save your changes.

Once your Media has been created, it will automatically be presented to Guests during Onboarding. In our case, we've added a PDF NDA agreement, an HTML contract, and a Video tutorial.
